Graduation of USU Graduates in Period IV 2023/2024
In connection with the implementation of the Graduation Ceremony of USU graduates for period IV T.A. 2023/2024, for the smooth implementation, hereby notify the following matters:
1. Graduation Registration:
1.1. Registration of graduation participants at the Faculty / Postgraduate School level no later than July 22, 2024.
1.2. Submission of graduand files from the Faculty / Postgraduate School to the Reception and Academic Events Section of the Academic Bureau on the 2nd floor of BPA USU no later than July 26, 2024 at 15.00 WIB.
1.3. Graduation of USU graduates for Period IV 2023/2024 will be held on August 21 and 22, 2024.
1.4. To the Head of the Education Subdivision of the USU Faculty and Postgraduate School to process the registration of prospective graduates in collaboration with the Study Program / Department.
1.5. Registration of prospective graduates is only carried out at the Faculty / Postgraduate School level, there is no graduation registration at the USU Academic Bureau.
1.6. Please proofread the biodata of prospective graduates, especially: place and date of birth, photo, religion, alumni number, school / college origin, thesis / thesis / dissertation title, name of Promoter and Co-Promoter, no columns are not filled in.
1.7. The cost of implementing graduation based on USU Rector Decree Number: 1465/UN5.1.R/SK/SPB/2019 dated April 18, 2019 is as follows:
1.7.1. Non-UKT students are charged a fee per person for all program levels of IDR 600,000.00 (six hundred thousand rupiah).
1.7.2. Students whose education costs are based on the Single Tuition Fee (UKT) are not quoted graduation fees.
2. Final Examination
In order to avoid delays in submitting graduation participant files to the Admissions and Academic Events Section at the USU Academic Bureau, the final exam should be scheduled as well as possible. Students who have graduated at the end of graduation registration, but have not completed the requirements for graduation, are advised to take part in graduation in the next period.
3. Mandatory Graduate Candidates:
3.1. Pass all courses and pass the final program exam (if any).
3.2. Pay off tuition fees and arrears of tuition fees as well as graduation implementation fees.
3.3. Pay off the USU Male / Female Dormitory fees and arrears.
3.4. Have been declared free of library from the USU Library.
3.5. Already have eligible status in the PDDIKTI system.
3.6. Fill in the data on the https://tracerstudy.usu.ac.id/ page.
3.7. Register at the Education Subdivision of the respective Faculty / Graduate School for:
3.7.1. Submit a printout of proof of registration of prospective graduates online.
3.7.2. Submit original evidence:
- SPP deposits from the first semester to the end (arranged sequentially according to the list of graduation participants).
- Payment of USU Male / Female Dormitory fees.
- Free library from USU Library.
4. Head of the Education Subdivision of the Faculty / Postgraduate School
Submit files of prospective graduates to the Admissions and Academic Events Section at the USU Academic Bureau in the form of a list of names of graduates consisting of:
4.1. List of graduation participants in the form of soft copies on CD and hard copies signed by the Vice Dean I or Vice Director I in 3 copies.
4.2. Photos uploaded in PDF of the list of graduation participants in black and white size 2x3 cm.
4.3. Graduation bill verification report according to Vice Chancellor II's letter Number 14012/UN5.1.R2/Keu/2023 dated September 5, 2023.
4.4. Proof of free library from USU Library.
4.5. Eligible status according to the letter of Vice Rector I of the Universitas Sumatera Utara Number 6223/UN5.1.R1/SPB/2023 dated April 18, 2023 regarding Notification of Eligible Data Process and Diploma Issuance at number 5 (attached).
4.6. Prospective graduates must attend the rehearsal:
4.6.1. Faculty officers should remind prospective graduates to attend the rehearsal.
4.6.2. Prospective graduates who are not present in accordance with the attendance are not allowed to attend the graduation.
4.7. The call list of graduates is in the form of hard copies and soft copies sent to the Academic Bureau email (baa@usu.ac.id) along with a soft copy of the graduates' ledger.
4.8. The order list of the call of graduates, Cumlaude graduates with the highest GPA are made number 1 on the call list.
4.9. Submit a list of prospective graduates who obtained the title Cumlaude with notes:
4.9.1. Regular and Research Doctoral Programs (S3) with a GPA equal to or more than 3.75 (three point seven five) up to 4.00 (four point zero) with a maximum study period of 6 (six) scheduled semesters and never received a grade B in accordance with USU Rector Decree Number 2328/UN5.1.R/SK/SPB/2022 concerning USU Graduation Guidelines accompanied by a cover letter signed by Vice Dean I / Vice Director I.
4.9.2. Master Program (S2) with a GPA greater than 3.75 (three point seven five) up to 4.00 (four point zero) with a study period of less than or equal to the maximum study period of 4 semesters and never received a C or C+ grade in accordance with USU Rector Decree Number 2325/UN5.1.R/SK/SPB/2022 concerning USU Learning Activity Guidelines and Number 2328/UN5.1.R/SK/SPB/2022 concerning USU Graduation Guidelines accompanied by a cover letter signed by the Vice Dean I / Vice Director I.
4.9.3. Professional Program in accordance with USU Rector Regulation Number 08 of 2017:
- Doctor / Dentist profession maximum study period of 4 semesters with a GPA greater than 3.75.
- Other professions have a maximum study period of 2 semesters with a GPA greater than 3.75.
4.9.4. Undergraduate Program (S1) with a GPA equal to or greater than 3.51 (three point five one) up to 4.00 (four point zero) with a study period of less than or equal to the maximum study period of 8 semesters and never received a grade D or E accompanied by a cover letter signed by the Vice Dean I.
4.9.5. Diploma Program (D3) with a maximum study period of 6 semesters with a GPA greater than 3.50 without a grade D in accordance with USU Rector Regulation Number 04 of 2017.
5. Sash and Toga for Graduates
The Faculty provides sashes according to the number of graduates registered and distributes them to prospective graduates at the time of distribution of invitations and togas at each Faculty / Postgraduate School. When entering the ceremony room, there are no more graduates who do not wear complete graduation clothes (toga, hat, and sash).
The sash provided must follow the predetermined criteria, namely:
- The length of the sash is 130 cm (including the right end where the faculty logo is placed and the left end where the words "Faculty Alumni" are written) and 11 cm wide.
- The color of the sash is green in accordance with the color of the USU flag and is coated with yellow.
- The length of the right and left ends of the sash is 15 cm each (the right side is where the faculty logo is, and on the left side, the writing "Alumni"), and the color is adjusted to the color of the flag of each faculty.
